New Hire Paperwork

Your new hire paperwork can be completed from any internet enabled device. To begin, simply visit workforcenow.adp.com and login. You will probably see a popup reminder to make your benefits selections, but you can click ignore for now. At the top of the screen you will see the option to begin your onboarding paperwork. Once you begin the process you will be directed to a few informational pages, followed by the sections below. These sections require that you take action.
Profile
Verify your personal information. Confirm your phone number, email address, and home address are accurate. These pieces of information are vital to receive insurance cards and W2s, authenticate your identity for tasks like setting up your direct deposit, and receive important calls/texts from you manager and HR. If they are incorrect, make a note to fix them in your ADP profile once you have finished your new hire paperwork.
Form I-9
On this form you will enter basic personal information such as your legal name (as appears on your social security card), date of birth, social security number, contact info and work authorization status. The form is then sent to HR to complete the remaining pieces of information. It is critical that this form is completed within three business days of your start date to remain compliant with the requirements by USCIS. For example, if you start on Monday, it is due by end of day Wednesday.
Tax Withholding

Completing your tax forms can be quite challenging. If you have questions, it is best to contact a tax professional. You may change your tax forms at any time by logging into ADP and going to myself-pay-tax withholding. Please follow the below steps for completing your tax forms:

  1. The first time you complete the form you will be asked to verify your name, address, and social security number are correct.
  2. Indicate whether you are 1) a US citizen or resident alien or 2) a nonresident alien. You can learn more about determining if you are an alien or a nonresident alien on the IRS website.
  3. Choose how you intend to file your taxes 1) Single or married filing separately 2) Married filing jointly 3) Head of Household.
  4. Indicate whether you are exempt from paying taxes. Most people are required to pay taxes so they will choose option two which is “I do not claim exemption from withholding.” However, you can read the details for option one to see if you qualify to be exempt from paying taxes. If you are unsure talk to a tax professional. You do not want to claim exemption unless you are certain you qualify.
  5. The next step is optional. You can choose to use a tool that will calculate the amount of taxes you should pay. This tool is for your information so you can decide if you need to have additional taxes withheld. Or you can skip this step and proceed to the question about whether you will claim dependents. If you choose to use a tool, Option A is recommended by the IRS, but it is fairly time-consuming.
  6. Answer the question about the number of children and dependents (leave it blank if your answer is 0).
  7. Under Other Income, indicate if you have any other income that should be taxed. Most teammates will leave this blank. Under Deductions, if you expect to claim any deductions other than the standard deductions, you may enter it on the form. Most of our teammates will leave this blank. The Extra Withholding section is if you want to have extra taxes taken out of your check. Some people choose to do this when they owed on their last tax return or if they know they may need to pay more taxes this year. But most teammates will leave this blank.
  8. Now all of your information should be populated into the W4 form. You will click the box confirming you gave honest answers and click to submit your taxes.

New hires in the state of Arizona will also be required to complete a state tax form. If you do not live in Arizona you are done with this portion of your paperwork, otherwise, you may click to proceed to the state tax form. Below are the directions for the state tax form:

1. You will be asked to verify your information again.

2. Choose whether you option one: need to pay taxes or option 2: are exempt from paying taxes. If option one, then select “Withhold from gross taxable wages”. Most people are required to pay taxes. If you are unsure talk to a tax professional. You do not want to claim exempt unless you are certain you qualify.

3. If you choose option 1, “withhold from gross taxable wages”:

a.) Select a tax percentage. If you are unsure which percentage to choose, we recommend you consult a tax professional. However, an alternative method is to look at the tax percentage you used last year and whether you owed any state taxes. However, this method is not perfect. This article can also help you choose a percentage based on how you will be filing your taxes and your income for the year.

b.) If you want additional taxes withheld, you may enter it in the box otherwise leave in blank and click next. Some people choose to do this when they owed on their last tax return or if they know they may need to pay more taxes this year. But most teammates will leave this blank.

4. If you choose option 2: that you are exempt from paying state taxes, you will select the option that says “I elect an Arizona withholding percentage of zero…” then click next.

Your info will be populated in the AZ state tax form, and you may check the box to certify that you made the elections above and click done.

Company Policies

In this section, you will be asked to review the Teammate Handbook and acknowledge it. The handbook is also located on the homepage of ADP  so you can reference it at any time.

You will also be required to acknowledge that Risas does not provide paper checks. If you do not set up your direct deposit in time, your first check will be paid on a Wisely card, which is like a debit card that Risas provides to you. In some instances, your final paycheck may be paid on a Wisely card as well.

Clinical teammates will also be required to acknowledge their right to a Hepatitis B vaccine. The hepatitis B virus is 100 times more infectious than the AIDS virus. Yet, hepatitis B can be prevented with a safe and effective vaccine. In the course of your job duties, you may become accidentally exposed to blood, saliva, or other bodily fluids, creating risk of contracting the virus. We encourage all teammates to protect themselves by proactively getting the vaccine. If you do not wish to receive it, you do not need to take any action. If you do wish to receive the vaccine, you may tell you supervisor at any time in your career with Risas. They will arrange for you to go to a Concentra location, on company time, to receive the shot, paid for by Risas.

Payment Options

Risas is invested in protecting our environment and the security of your personal information. As a result, we do not pay wages via paper checks. Nor do we use paper forms to collect direct deposit information. All payments are made either via direct deposit or via an account we set up for you called a Wisely card.

To receive your pay via direct deposit, simply enter your information in the payment options section. Please be careful to enter your information correctly and note that the number on your debit card is not your account number. We recommend that your manager review your information before you submit, to catch typos. Should there be an error in your payment information it can take 7-10 days to receive your wages back from the bank so that we may reissue them to you. Accuracy is very important. Once you submit your banking information you will be asked to confirm your identity via a code sent to your phone or email. This process is to ensure the security of your paycheck. Finally, your information will go to payroll to approve. If you intend to use direct deposit, it is important that you complete your payment options by the end of the pay period which is the 15th and the last day of the month.

If you do not have a bank account, you may ask your manager for a Wisely card. The Wisely card works just like a bank account. Your funds will be wired to an account on pay day and you will be provided a debit card to make purchases. You may use an ATM to receive cash or ask for cash back when making a purchase. You may also transfer the funds from your Wisely account into another account. Just like a standard debit card, some ATMs do charge fees so if you use a Wisely card be sure to review the account details to find the free ATMs.

If your first day of work falls between the 1st and the 15th your first paycheck will be the 22nd of the month. If your first day or work falls between the 16th and the end of the month, then your first check will be the 7th of the following month.

Emergency Contacts

Every teammate should have an emergency contact on file. This person will be contacted in the event of an emergency in which you are unable to contact someone yourself.

Documents

This final section has documents for you to review if you are interested, but there is no need to take action in this section. In the documents section, you will find the benefits guide, which you can also view on the ADP  homepage, and more information on the Hepatitis B vaccine.
